You are the most expensive constraint in your own company.

When everything still runs through you, you're limiting your business's growth and wasting your most important resources: your time and attention. You probably haven't taken a real week off without one eye on your inbox in years, and the last time you tried, three things broke while you were gone.

That's what it looks like when a business outgrows its systems and nobody owns the technology holding it together. Systems and processes were never designed intentionally, so everything defaults to you, and your time is the ceiling on what your business can earn.

Here's what we do to fix that:

  • Every system mapped and scored before anything is bought, moved, or cancelled.
  • Every decision documented with the reasoning and tradeoffs.
  • You hold every credential, contract, and account. We never lock clients into working with us.
  • Nothing gets built that your team cannot run themselves.

Run the business on evidence, not on meetings.

A dozen weekly meetings is not visibility OR effective communication. It's what a business does when its systems can't answer a question on their own. We put the real numbers in one place, one source of truth, so decisions run on evidence instead of feelings.

Always current

Every number here is live and traces back to a real system, not a slide someone rebuilds by hand before each ops meeting. When you look, it is true right now.

Nothing to license

We build custom solutions using the tools you already pay for. There is no Flywheel software, no per-seat fee, and nothing to lock you in.

Yours, not ours

The solutions, the software, the data, and the documentation all live in your accounts. If we part ways or you lose a person, you still have the framework. We don't believe in holding companies hostage.

$250K

is what the seat would cost to fill with a full-time CTO. You need the experience, not an expensive employee.

Companies pay a premium for a full-time CTO so that they are available to them exclusively, 24/7.

That means they are also paying for a significant amount of down time when they're not actively needed.

Stewardship

Tech stack ownership

Someone accountable for what you run, what it costs, what overlaps, and weeding out phantom subscriptions that quietly renewed last month. Vendor calls, monitoring, and consolidation included.

Leverage

Custom internal tooling

The portal, the calculator, the intake, the reporting layer. Software built for how your business actually works, instead of bending the business around a one-size-fits-none subscription.

Judgment

AI strategy & deployment

We help you identify where AI earns its keep and where it is an expensive toy that loses you valuable trust with your clients. Deployed into real workflows with thorough testing, guardrails, and a human still holding the sign-off.

Insurance

Risk and continuity

Key-man dependency, access control, cybersecurity hygiene, documentation, and an answer to what happens the day someone leaves. The value you only notice when you need it.

Priced by what we deliver, not by the hour.

You shouldn't be billed for time someone spends thinking or figuring things out, and nobody profits from a longer project. Fixed scope, fixed price, fully transparent before you commit.

For context, the same capabilities in a full-time hire go for $250,000-$350,000 per year.
Instead, save thousands by only paying for exactly what you need, when you need it.

Who you'll have in your corner

A seasoned engineer with
firsthand business experience.

I'm passionate about helping owners and operators because I am one myself, and I've gone through the same struggles. From the startup phase, to growing pains, to outgrowing my systems...I've been there. My mission is now to help other owners short-circuit the learning curve I had to figure out on my own, the hard way.

My background is a unique mix of technical Computer and Electrical Engineering degrees and hands-on work with machine learning and artificial intelligence since 2012 (way before AI was "cool"), combined with over a decade of real-world development and testing in the Air Force leading large, high budget/high risk aviation modernization programs, along with direct experience running my own businesses in real estate and services.

Then, most recently, the same type of work I'll be doing for you: I was the VP of Technology for a private equity firm, designing and implementing the systems that let their portfolio of service businesses across multiple industries scale rapidly.

Ultimately this all allows me to simultaneously have a deep technical knowledge of the tools, be able to design & implement efficient and effective systems architecture, and most importantly understand the end user, prioritizing their perspective and needs.

That's where Flywheel is different from every other "agency" or "consultant" out there. We don't just advise - we build, integrate, and train your team to run it. We have extensive experience on both the "nerd" and the "operator" fronts, so we engineer systems that are technically sound AND user-friendly. The best systems in the world are dead weight if your team won't use it, and getting them to actually adopt new tools is half the battle. Knowing what *not* to build, what to eliminate, and what to leave alone are some of the most critical decisions. And you deal directly with me, not a rotating cast of sales reps who don't understand the software they're pitching, and who never really get to know you or learn your business.

operations layer

The systems your business run on
shouldn't be an accident.

Your Systems Diagnostic will walk you through every functional system in a single structure, grouped into five areas that outline where the business is still dependent on you and what can be done to fix it.

01

Foundation & infrastructure

The different software you run, how your data connects, security risks, and what breaks the day a key person walks out.

02

Revenue operations

Where inquiries land and who owns them, how the pipeline moves, and the unclaimed revenue already sitting in your database.

03

Processes & automation

From first contact to cash, the manual work an automated system should be doing, and whether the business exists anywhere but your head.

04

Data & intelligence

The numbers you should see without asking, what each client really costs, and where AI earns its keep instead of being a toy.

05

Growth & enablement

The first thirty days that decide retention, and the internal tooling your team needs built for them.

A specific fit, on purpose.

Book the Diagnostic if

  • You have a solid business and great fulfillment, but spend too much time on menial tasks
  • You are past $2M in annual revenue and the systems that got you here aren't carrying their weight
  • Work touches multiple tools that don't talk to each other and aren't integrated
  • You have a team, but many of their hours go to work software should be doing
  • People are always coming to you with questions or approval requests

Do not book it if

  • What you need is more leads. That is a marketing problem - we can refer you to a great Fractional CMO to help with that
  • You are pre-revenue, or still working out what the offer is
  • You just want one automation built and the rest left unexamined
  • You are shopping for the cheapest available hands - Fiverr and Upwork are great for simple, budget tasks
  • You aren't willing to take action on the long-term solutions that will free up your time and unlock growth for your business

Frequently asked questions

What do I actually get for the $997?
A forty minute structured call, then a comprehensive written Systems Blueprint delivered within five business days. It contains all fourteen systems scored against benchmark, a plain estimate of what each gap is costing you, risk areas and consequences, fixes ranked by impact against effort, and a 90+ day solutions roadmap. It is a document you can act on with an internal team, a different vendor, or nobody at all. If you engage us for a Build within thirty days of your Diagnostic call, the $997 comes off the Build invoice in full.
Are you a marketing agency?
No, and the distinction matters more than it sounds. Marketing strategy, copy, creative, media buying, and channel performance sit with a CMO, and we work alongside whoever holds that seat rather than competing with them. Our lane is everything underneath: architecture, data, tooling, automation, documentation, AI, and continuity. If the real problem is that not enough people know you exist, we are the wrong call and the Diagnostic will say so.
Is the Diagnostic just a sales call with a price tag?
There is no deck and no pitch inside the forty minutes, the deliverable arrives whether or not there is a next conversation, and it is written to be useful in any experienced technologist's hands. Charging for it is what makes that possible. As the marketers say, "if you're not paying for the product, you ARE the product".
How is this different from hiring a full-time CTO?
A CTO at this level runs two to three hundred thousand fully loaded, and most businesses under twenty million frankly do not generate enough architectural decisions to justify the seat full-time. You need the experience and the judgment, not the permanent employee headcount. The fractional model gives you the same functional area expertise, trust, and authority at a fraction of the cost, and it dynamically scales to your needs.
How much of my time will this take?
Forty minutes for the Diagnostic call. During the Build, we will keep you updated while respecting your time. Typically no more than an hour per week is needed from you and whoever runs operations, mostly for any specific questions, decisions, or access. The engagement is designed so that we do not need you in the room to make progress, which is why we document everything and keep you in the loop asynchronously.
Who does the building?
Dean architects every engagement, builds the strategy directly, and does the advanced technical work or anything requiring CTO judgment. Some of the volume execution may go to trusted team members he manages directly to keep your costs low. You get one point of contact, one accountable person, and work that is always reviewed before it reaches you or your customers.

Let's find out if we're a fit.

A free 30-minute call to talk through your goals, learn the basics on your business, and decide together if this is the right fit. This goes both ways. I only take on a limited number of clients so that each one gets the time they need, which means I'm very up front and honest about compatibility. If we're not right for each other, no hard feelings - I will do my best to get you connected with someone who can help.

Free. No pitch. Just a straight conversation about whether this is a good fit.
